A ALTRIX CO

How it works

One front desk.
Every channel.

Ava is an assistant that answers in your voice, from your menu, and books into the calendar you already keep. This page is the whole mechanism: what it handles, what it refuses, how a conversation runs, and how a salon goes live in a week.

The split

What it takes, and what it leaves alone.

Ava handles

  • Prices, durations, add-ons and “what’s included”
  • Who is best for a service, and who has the next opening
  • Booking, rescheduling and cancelling against real availability
  • Hours, address, parking, deposit policy, late policy
  • 24-hour confirmations and post-visit check-ins
  • Repeating itself patiently, at 2am, to four people at once

Comes to you

  • A complaint, a refund, or an angry guest
  • Anything outside your menu it does not know
  • Medical questions, allergies, reactions
  • Discounts and “can you do it cheaper”
  • An explicit “I want a human”
  • Any card number, ever

Each hand-off arrives with the full transcript, so nobody has to ask “what did they say?” twice.

Channels

Where your guests already are.

The assistant is the same one everywhere, with one history per guest. Somebody who starts on Instagram, asks again by text and finishes on WhatsApp is the same person, with the same conversation, to the same calendar.

Live

Instagram DMs

The 9pm message, answered. Comment replies that should be DMs are moved there.

Live

WhatsApp

Your existing business number, through the official API.

Live

SMS

Texts to your business number, so the guest who never opens Instagram is still answered.

Live

Website chat

A small widget, or a page like the one on this site.

Next

Phone calls

Scoped per salon. If calls are your whole problem, tell us and we will say when.

The route

One message, four hops.

It arrives Instagram DM, WhatsApp or the website widget. One thread per guest, whichever door they used.
Ava answers From your menu, prices, hours and policies — never from the model’s imagination.
She checks the calendar Real availability for that service and that artist, then writes the booking — or hands over your own link where the platform blocks outside writes.
You get the record Lead and appointment in your CRM, a confirmation to the guest, transcripts for the hand-offs.

A conversation, end to end

No tricks. Just the right answer.

This is the shape of a real exchange, shortened. The live version on the demo page is answering from a working salon’s menu and calendar right now.

hey do u have anything saturday for a cut? and how much

Haircuts start at $78 and depend on length. Saturday has 9:00 and 11:30 with Brianna — want me to hold one?

11:30. do u take deposits?

We do for colour, not for cuts. I’ll put you down for Saturday 11:30 with Brianna — can I get your name and a mobile number?

Priya, 214 555 0134

Booked · Sat 11:30 AM · Brianna · confirmation text sent

Every price above came from the salon’s own menu. If a question is not covered by that menu, Ava says so and hands over instead of guessing.

What else happens on that turn

  • The guest is written to the CRM with name, number and service
  • The appointment is recorded with its booking reference
  • A confirmation goes out in writing
  • The whole thing is logged for the monthly read

What it will not do

  • Offer a time the calendar did not return
  • Quote a price nobody typed into the menu
  • Say “booked” when the system said no
  • Make up a stylist, a policy, or a discount

Setup

A week, not a quarter.

  1. Day 1

    Access, not homework

You add us as a user on Instagram, WhatsApp and your calendar, and take us off when we’re done. No new software for your team to learn, no migration.

  2. Day 2–3

    Your menu becomes its memory

Services, starting prices, durations, add-ons, deposits, hours, policies, artists and who does what. We check the mapping with you line by line, because this is where most assistants go wrong later.

  3. Day 4–5

    Tone, and the hand-off line

How you greet, how you sign off, how blunt to be about price, and exactly what makes it stop and call for a human. You approve real sample conversations before anything goes live.

  4. Week 2

    Tested on real conversations

We run it on live traffic with you watching, then read the transcripts together. The first week is where the odd question shows up — parking, a specific product, a stylist’s day off.

  5. Week 3 onward

    Watched, not abandoned

Monitoring with automatic recovery, a monthly read of what guests asked and what it missed, and small changes included — a price, a policy, a new artist.

Booking systems

Your system stays.
Or becomes the point.

This is the part most quotes get vague about, so here it is plainly. There are two kinds of connection, and they are not the same claim.

  • We write the booking Reads live availability and creates, moves or cancels the appointment inside your system. Today: Cal.com. Google Calendar and Outlook next, because almost every salon already has one.
  • We hand over your own link For Fresha, Booksy, Vagaro, GlossGenius, Boulevard and other closed platforms we answer the question, then send your booking link with the service already picked. The guest finishes in your system, on your deposit rules. If they go quiet, we follow up once before the slot is gone.
  • We never pretend it’s the first If it only sent a link, we say it sent a link. A salon that thinks a chair is booked and finds it empty does not renew.
  • No system at all Paper diary, DMs, “I text the owner” — we set the calendar up properly as part of setup. Here the assistant is not a bolt-on, it is the desk.

Questions owners actually ask

Straight answers.

Does it replace my booking system?

No. It works with the one you already run — see the booking section above for exactly which systems we can write into and which ones we only send a link to. Your team keeps the same schedule and the same client records either way.

Will it sound like a robot?

It writes short, human sentences in your tone, and says so if you ask whether it is a person. When it does not know, it hands over.

What if it gets something wrong?

Complaints, refunds, anything outside your menu and any request for a human come straight to you with the transcript. It does not guess at policy.

Is my client data safe?

Conversations live in your CRM and calendar, not ours. We do not resell them or train models on them — the privacy page has the detail.

Who owns the Instagram and WhatsApp accounts?

You do. We work through access you grant and can revoke, and the accounts, transcripts and calendar stay with you if you leave.

Why not just use one of the big US platforms?

If you want a licence and a login, buy one — they are good products, built to be configured by you. We install, tune and answer when it breaks. You trade a logo for a person.

Why is there a setup fee and a monthly fee?

Setup is the work that makes it sound like your salon. The monthly keeps it running — hosting, models, monitoring, fixes.

How fast is setup, really?

Channels and calendar in a day; menu, policies and artist matching take the rest of the week. Then a week of live tuning with you watching.

Aren’t there already tools that do this?

Yes — Boulevard Beau, GlossGenius Reception, Vagaro Vera, Clara and Smith.ai all do parts of this, mostly on the phone. Beau, for instance, answers inbound calls and sends a booking link; Boulevard’s Instagram integration is a “Book Now” button, not a conversation. The door they skip is the one we cover: the 11pm DM and the website chat nobody is watching.

Where are you based, and does that matter?

India. Your evening is our morning, and there is no sales layer in the price. What it does not mean: a 24/7 human line or a US office — the honest version says so plainly.

Still reading? Ask it something.

The demo is the assistant, not a recording. Two minutes there will tell you more than this page did.
