1. Who we are
“Altrix”, “Altrix Co”, “we” and “us” refer to the operator of this website, a services business operating from India. “You” and “client” mean the salon, day spa or business that engages us. You can reach us at hello@altrixcosystem.com.
Sending us the acceptance record on the start setup page, paying an invoice, or using the service after setup all mean you agree to these terms. The acceptance record names the salon, the person accepting on its behalf, and the date and time — a copy is kept on both sides, so neither of us has to rely on a link in a footer. If you do not agree, do not use the service.
2. What we provide
We build and operate an AI assistant (“the service”) that answers customer messages on channels we connect — currently Instagram, WhatsApp, SMS and website chat — from information you supply, and books appointments where the connected booking system allows it.
The service includes:
- Configuration of the assistant with your services, prices, hours, policies and team.
- Connection to the channels and booking system agreed in writing before setup.
- Hosting, monitoring and routine maintenance for the assistant.
- Small changes on request — a price, a policy, an artist, a holiday closure.
- A monthly summary of conversations on request.
The service does not include: a telephone answering service, human reception cover, advertising, your booking platform’s subscription, third-party messaging fees charged by Meta or others, or any guarantee of bookings or revenue.
What the assistant is not used for. It answers questions about your menu, prices, hours, policies and team, and it books, moves and cancels appointments. It is not a clinical or medical intake channel: it does not collect medical histories, medication or condition details, does not decide whether a treatment is suitable for someone, and does not give treatment or aftercare advice. That boundary is configured during setup, before it talks to a customer.
3. Setup and go-live
Setup requires an access window in which you grant us the permissions needed: a Meta app connection for Instagram and WhatsApp, access to your booking calendar, and a way to load your menu. You may revoke that access at any time; revoking it before go-live ends the engagement and the setup fee is not refunded once work has started.
We will show you sample conversations for approval before the assistant talks to real customers. After go-live we tune it against real conversations for two weeks.
4. Your responsibilities
- Accurate information. The assistant only quotes what you give it. Prices, durations, policies and artist availability are yours to keep current. We are not responsible for a quoted price you have not updated.
- Permission to message. You confirm you have the right to reply to the people who message your business, and that your use of Instagram, WhatsApp and any messaging channel follows those platforms' terms and applicable law, including consent and opt-out rules in the United States.
- Account ownership. The Instagram account, WhatsApp number, booking system and customer records remain yours. You must have authority to grant us access to them.
- A human backstop. You agree to monitor the hand-offs the assistant sends you, and to respond to customers who ask for a person.
- No clinical information. You agree not to configure the assistant to collect medical histories, medication or condition details, or answers about treatment suitability, and not to route those conversations into it yourself. We do not take on medical practices or HIPAA covered entities. None of the channels we use can carry a business associate agreement, so a practice that handles health information is outside what this service can do.
5. Fees, billing and cancellation
- Setup is invoiced once, before the build starts, and is not refundable after work begins.
- The monthly fee is billed in advance, per location. Monthly billing renews each month; yearly billing is 10% off and renews each year at the then-current price.
- There is no per-message charge. There is no minimum term on monthly billing for a single location; a yearly term runs for the twelve months paid for.
- Either side may end the service with 30 days' written notice — an email or a message to the account we use with you is enough. On a yearly term that notice stops the next renewal; the months already paid for are not refunded pro rata.
- Invoices unpaid for more than 14 days may result in the assistant being paused.
- Fees are in US dollars and exclude taxes, which are added where we are required to.
6. Data and privacy
Customer conversations, leads and appointments belong to you. We process them to provide the service, and we do not sell them or use them to train AI models. Our handling of personal data is described in the Privacy Policy, which forms part of these terms.
Where you act as the business and we act on your instructions, you are the controller of your customers' data and we are a processor. On termination we return or delete the configuration and transcripts we hold, on request.
7. Third-party services
The service depends on platforms we do not control: Meta (Instagram and WhatsApp), your booking system, an AI model provider, and hosting. Their outages, policy changes, price changes or API changes can interrupt the service. We will tell you when that happens and work around it, but we cannot guarantee a third party’s availability.
8. Intellectual property
The assistant’s configuration, prompts, workflows and code remain ours. You receive a non-exclusive right to use the assistant for your business for as long as you pay for it. Your content — your menu, pricing, brand assets and customer data — remains yours, and you give us permission to use it only to run the service.
9. What the assistant is not
The assistant is an automated system. It can make mistakes, misread a message, or be unavailable. It is not a human, and it does not give medical, legal or financial advice. It does not collect a medical history, judge whether a treatment is suitable, or answer questions about medication, allergies or adverse reactions — those are handed to your team. It will not knowingly confirm a booking it did not make. You should not rely on it for anything safety-critical.
10. Limitation of liability
To the extent the law allows: we are not liable for lost profits, lost bookings, or indirect or consequential losses; and our total liability for any claim is limited to the fees you paid us in the three months before the event giving rise to the claim. Nothing here limits liability that cannot lawfully be limited.
11. Termination
Either side may end the agreement as set out in section 5. We may suspend the service immediately if it is used unlawfully, to send unsolicited bulk messages, or in a way that risks the accounts or the platform access involved. On termination, access is removed and your accounts, records and transcripts stay with you.
12. Changes to these terms
We may update these terms as the service changes. Material changes will be sent to you by email or message at least 30 days before they take effect. Continuing to use the service after that means you accept the updated terms. The date at the top of this page always shows the current version.
13. Governing law
These terms are governed by the laws of India. Disputes will first be discussed in good faith — in practice, a message to hello@altrixcosystem.com resolves most of them. If that fails, the courts having jurisdiction over our registered office have exclusive jurisdiction.
14. Contact
